How to get more Google reviews, and what to say when you reply

Short answer

Ask every customer for a review right after the job, with a direct link to your Google review page, and make it part of how you close out work. Reply to every review within a few days in your own words. Never offer rewards or ask only happy customers, since Google bans both.

  • 97% of consumers read reviews for local businesses, and most want reviews from the last three months.
  • A steady flow of new reviews matters more than a one-off burst, both to customers and to Google’s local rankings.
  • Google bans review incentives and selective asking, and since April 2026 also bans staff review quotas.
  • 89% of consumers expect owners to reply to reviews, and templated replies put half of them off.

Why Google reviews matter for a local business

Google reviews decide whether a customer calls you or the business above you. In BrightLocal’s 2026 survey of US consumers, 97% read reviews for local businesses, 74% look for reviews written in the last three months, and 47% won’t use a business with fewer than 20 reviews.

Reviews also affect where you appear. Google states that review count and score are factored into local ranking, and experts in Whitespark’s 2026 Local Search Ranking Factors survey rate the quantity, rating and recency of Google reviews among the top factors for the map results. They also rank a sustained flow of reviews over time above sudden bursts.

When and how to ask for a review

The best time to ask is right after the customer has seen the result, while they are still pleased, and the best way is a direct link they can tap. Asking works: BrightLocal’s 2026 survey found that most consumers who were asked for a review went on to write one.

  1. Get your review link. In your Google Business Profile, use the option to ask for reviews to copy a short link that opens the review box directly. Turn it into a QR code for invoices, receipts and leave-behind cards.
  2. Ask in person first. A technician, hygienist or project manager who asks face to face, then follows up with the link, gets more reviews than a link alone.
  3. Send the link the same day. A text or email within a few hours of finishing the job, with one sentence and the link, is enough.
  4. Ask everyone. Asking every customer is both the rule and the habit that builds a steady flow.
Text after the job

Hi Dana, thanks for having us out today. If you have a minute, a quick Google review helps other homeowners in Towson find us: [link]. Thank you, Marcus at Chesapeake Plumbing.

In person

We’re a local business, so reviews make a real difference for us. I’ll text you the link, and if you have a minute later this week, an honest review would mean a lot.

The calculator below shows how long it would take to catch the competitor above you if you asked every customer. Put in your own numbers.

What Google and the FTC don’t allow

Google bans offering anything in exchange for a review and asking only happy customers, and the FTC can fine businesses for fake or bought reviews. The two sets of rules overlap but are not identical, so follow the stricter one.

PracticeGoogle’s policyFTC rule (US law)
Discounts or gifts for a reviewProhibited, as fake engagementProhibited when tied to a positive or negative review
Asking only happy customers (review gating)ProhibitedNo specific ban, but may still breach the FTC Act
Staff review quotas or asking for staff names in reviewsProhibited since April 2026No specific rule
Pressuring customers to review on the premisesProhibited since April 2026No specific rule
Reviews from staff or familyNot allowed when they misrepresent the experienceAllowed only if the relationship is clearly disclosed
Fake reviews or threats to remove bad onesProhibitedProhibited, with civil penalties for knowing violations

Google enforces these rules actively. In 2025 it blocked or removed more than 292 million policy-violating reviews and can pause new reviews on a profile after a spike of suspicious activity. Google Maps now also asks users whether a business offered rewards in exchange for reviews.

How to reply to positive reviews

Reply to every positive review with a short, specific thank-you that mentions the job, in your own words. Customers notice: 89% of consumers expect owners to respond to reviews, and generic or templated replies put off 50%.

Positive review

Thanks, Dana. Glad the water heater swap went smoothly and that Marcus was able to get it done before the weekend. We’ll see you for the annual flush next fall.

Mention the service and the area naturally when it fits, since that is what the next customer reading your profile is searching for. Avoid stuffing keywords into replies, which reads as spam.

How to reply to a negative review

Reply to a negative review within a day or two, calmly and briefly, acknowledge the experience, and move the details offline. The reply is written as much for future customers as for the reviewer, and 42% of consumers say they are unlikely to use a business that never replies.

Negative review

Hi Tom, I’m sorry the first visit didn’t fix the leak and that you had to take another morning off. That’s not the standard we hold ourselves to. I’m the owner, and I’d like to make it right. Please call me directly at [number].

  • Don’t argue the facts in public, even when the review is unfair.
  • If you run a dental or healthcare practice, don’t confirm that the reviewer is a patient or mention treatment details, and check your reply approach with your compliance advisor.
  • If a review is fake or breaks Google’s policies, report it through your Business Profile rather than replying to it.

Turning reviews into a routine

The businesses with the most reviews ask after every job, every week, and reply to every review. Building that into your close-out process is what produces the steady flow that both customers and Google reward.

In the Local Leader Program, a review drive with recent customers runs in the first 14 days, then a reviews engine sends a request after every job and drafts a reply to every review. Reviews also feed your position in the map results, covered in how to show up in the Google Maps top 3, and in AI answers, covered in how to get recommended by ChatGPT.
