Guide · Missed calls

What missed calls cost a local business, and how to stop losing them

Short answer

In a 2024 study, only 37.8% of calls to small businesses reached a person, and in a 2025 survey 78% of consumers said they had abandoned a business after an unanswered call. Answer live in business hours, send an automatic text within a minute of any missed call, and cover nights with an answering service or booking link.

  • A 2024 study of 85 small businesses found 62.2% of incoming calls were not answered by a person.
  • Only 42% of consumers leave a voicemail, and 21% immediately call another business.
  • A missed-call text-back recovers some of those callers, but it needs a registered texting number.
  • Most missed calls happen at predictable times, which makes them fixable with routing and cover.

How many calls small businesses miss

Most calls to small businesses are not answered by a person. A 2024 study by 411 Locals of 85 businesses across 58 industries found only 37.8% of calls were picked up by a human, while 62.2% went to voicemail or got no response.

Home services businesses do better but still lose a meaningful share. Invoca’s platform data shows 27% of calls to home services businesses are not answered, often because technicians are on jobs and the office is short-staffed at peak times.

What callers do when you don’t answer

Most callers who reach voicemail don’t leave a message, and many call a competitor instead. In a 2025 survey of 1,000 US consumers by CallRail, only 42% said they leave a voicemail, 21% said they immediately call another business, and 78% said they had abandoned a business after an unanswered call.

For sales calls the picture is starker. Invoca found fewer than 3% of callers sent to voicemail leave a message, and an earlier Invoca survey found three in four consumers hang up after being placed on hold. The two studies measure different situations, but both point to the same conclusion: a voicemail greeting is not a recovery plan.

Calculate what missed calls cost you

The cost of missed calls is the number of new customers who couldn’t reach you, times the share who would have booked, times your average job value. Use your own call log for the most accurate figure.

Bookings lost a month6
Revenue lost a year$67,000

The defaults are examples, not benchmarks. Use your own numbers.

If you don’t know your miss rate, most phone systems and call-tracking tools report it, or you can count unanswered calls for one ordinary week. The answer is usually higher than owners expect, because missed calls cluster at lunch, at the start of the day and after hours.

Ways to stop losing missed calls

The most effective setup combines live answering during busy hours, an automatic text to anyone you miss, and cover for nights and weekends. Each option suits a different gap.

Texting is the cheapest way to catch callers you miss, and customers welcome it. In a {src("Podium survey reported by Small Business Trends", "https://smallbiztrends.com/2021/07/customers-prefer-texting-business-real-people.html")}, 74% of consumers said they would be more likely to respond to a text from a business.

Hi, this is Harbor Dental. Sorry we missed your call. How can we help? You can reply here or book online at [link]. Reply STOP to opt out.

Rules for missed-call text-back in the US

A business texting from a standard phone number through software must register for A2P 10DLC, and the text should stay transactional, with a clear opt-out. Treat these points as general information and confirm the details with your texting provider or counsel.

Test your own phone

The fastest way to see what callers experience is to call your own business at your busiest times, the way a new customer would. A short mystery shop shows how often calls are answered, how long they ring and what happens when no one picks up.

  • Call at opening, lunch, late afternoon and after hours on two or three different days.
  • Note who answered, how quickly, and whether they asked for the caller’s name and need.
  • Check whether a missed call triggers any follow-up at all.

Front-desk mystery shops, missed-call text-back and call intelligence are all part of the Local Leader Program. Missed calls are one of three places local businesses lose work they already paid to generate, alongside unanswered estimates and past customers who never return.
